Turning repetitive order entry into an intelligent workflow

Every day, TVH Equipment’s rental department receives a high volume of customer orders via email. These orders often arrive as unstructured email text or PDF attachments, requiring customer support teams to manually read, interpret and retype the information into the ERP system.

This repetitive process was time-consuming and prone to errors, taking valuable time away from customer interactions.

From manual data entry to AI-powered order processing

TVH Equipment wanted to automate the processing of incoming orders while keeping customer support in control of the process.

The project started with an analysis of historical data and existing workflows. Based on these insights, proofs of concept were developed to explore how Natural Language Processing could extract and interpret order information from unstructured emails and documents.

The resulting application integrates directly with TVH Equipment’s Office 365 mailbox and ERP system. Incoming orders are automatically processed and transferred into the appropriate workflow, reducing the need for manual retyping.

The solution also learns from corrections made by customer support. This continuous feedback loop allows the AI models to improve as more data becomes available.

More time for customers, fewer errors

By automating a repetitive part of the order process, TVH Equipment can handle more work with the same team while reducing errors. The operational efficiency also translates into fewer credit notes, while customer support can spend more time on customer relationships and higher-value activities.

“The operational gain makes it possible for us to deliver more qualitative work with the same amount of people.”
Kristof Coudenys, CEO TVH Equipment
