As one of Belgium's leading providers of payroll, HR, and legal services, Partena Professional manages a large amount of specialized knowledge. The organization wanted to see how AI could enhance its services and internal processes but recognized that successful adoption takes more than just new technology.

The challenge was to determine where AI could offer the most value while setting the right foundations around data, governance, legal compliance, and organizational change. Instead of rolling out isolated AI projects, Partena Professional sought a long-term partner to help shape and guide its AI journey.

Working with several specialized companies within Cronos Group, we developed an organization-wide AI program that merged strategy with practical execution.

Collaboration began with executive workshops and AI strategy sessions to find opportunities, define priorities, and create a roadmap for future investments. At the same time, we started strengthening the organization’s data foundations and governance model to support AI on a large scale.

To ensure ongoing support, an Embedded AI Strategist and embedded data leadership became part of the organization. They translated strategic goals into specific use cases, assisted decision-makers, and helped create an AI operating model.

We developed a semantic search assistant to help payroll experts find relevant information across SharePoint knowledge bases faster, providing AI-generated answers with clear source references.

The partnership also set the stage for a legal AI assistant, allowing consultants to access legal knowledge more efficiently and reducing the time spent searching through documents.

To make AI accessible throughout the organization, we created interactive demonstrations, internal communication, and AI-powered content to help employees understand how AI can enhance their daily work.

Creating lasting adoption

Technology alone does not drive change. Along with implementing AI solutions, the partnership focused on responsible adoption.

Training programs, AI literacy initiatives, and Microsoft Copilot adoption helped employees confidently integrate AI into their daily tasks. Meanwhile, governance frameworks and responsible AI policies ensured that innovation stayed in line with legal, ethical, and organizational standards.

This blend of strategy, implementation, and change management laid a strong foundation for sustainable AI adoption across the organization.
